Administrative Coordinator Job Description

Position summary:

Under the direction of the Board President, the Administrative Coordinator arranges and carries out specific assigned tasks, while ensuring the efficient daily operations of ALRI in support of its artistic mission.

Major responsibilities:

Assists the president and committee chairs in establishing and meeting ALRI objectives
Fulfills a wide range of general administrative duties including:
use of database (E-Tapestry) to generate thank you letters and other mailings;
use of MS Windows and Office Suite programs to do word processing, spreadsheets, and presentation materials;
use of high-speed internet for both database work and e-mail;
use of telephone to make personal contacts;
basic clerical tasks, including: stuffing envelopes, affixing labels, posting mailings
other projects, as assigned by the president, and in support of committee chairs
Attends all board meetings (last Tuesday of each month. No meetings July/August/Dec). Attends committee meetings on an as-needed basis, but at least once per year per committee. (Four Standing Committees.)
In conjunction with the Board President, manages communication with the Board of Directors and their respective committees, thus ensuring an efficient and timely flow of information
Works with Board President and committee chairs to: schedule groups, galleries, exhibitions, openings, meetings; and generate agendas
Coordinates and implements “outside” special projects, including the coordination of the installation of the Annual Members’ exhibition and the twice yearly rotating exhibit of ALRI artist members’ work at the headquarters of the Rhode Island Foundation. Duties Include:
Coordinate call for submissions, the selection, installation, signage, biographical information on members, sales and artist/member relations.
Coordinate the drop off and pick up of artist member work.
Coordinate the opening receptions for the Rhode Island Foundation exhibitions including creating and sending invitations and finding caterers and other vendors as needed.
Attends meetings in statewide locations as needed.
Maintains a high level of personal and professional integrity and is a team player. Maintains and inspires a positive, collaborative, and constructive work environment that is innovative, professional, disciplined, and efficient.

Desired Qualifications:

Possesses exceptional organizational skills
Anticipates the organization’s needs, plans ahead and attends to day-to-day operations efficiently.
Possesses excellent verbal and written communication skills.
Possesses a computer and has access to a high-speed Internet connection.
Possesses strong computer skills. Must have a functional understanding of Windows and all MS Office Professional programs. Must understand database functions. Familiarity with website maintenance and digital slide editing very helpful.
Must have a valid driver’s license, access to a vehicle and be willing to travel.
Must be willing to work from home or another location should ALRI get office space in the future.
Arts background helpful.

Part time position at 10 – 20 hours per week with more hours in advance of exhibition openings and/or other ALRI events. $10 – $15/per hour plus travel expenses.
