This wonderful studio is home to RI artist Brower Hatcher, located at the Steel Yard

New Business and Studio Facilitator

The New Business and Studio Facilitator reports to Brower Hatcher while at the same time is involved in frequent and ongoing coordination and communication with all staff and clients.

Key Responsibilities:

New Business

. ongoing research, identification and follow through of potential new business opportunities

. review all opportunities internally with details of location, budget, anticipated timeline and feasibility for fitting into existing workload as factors to determine preliminary interest

. submit RFQ as agreed/required

Proposal Development and Completion Coordination

. complete coordination of all phases of proposal development

. provide copies of the proposal specs to Brower, Emily

. assembly of all presentation books

. coordinate Power Point presentation preparation

. create a proposal checklist for each project to ensure all materials and components are completed, accounted for and shipped in a timely manner

. ensure our proposal meets all criteria outlined by the proposal specifications

. packing and shipping of all materials

PR Support

. in consultation with other staff, research potential targets and establish database

. initiate PR mailing list and ongoing maintenance

. assemble and organize individual mailing components, prepare mailings as appropriate

. follow up mailings or personal contacts as warranted with documentation of all activity

Documentation

. photo documentation of all phases of each project through completion including submission to client and maintaining studio file copies

. organization, archiving and cataloguing of existing materials and photos

. ongoing updates of Brower’s resume

Communication and Coordination

. attend weekly staff meetings. Provide details in writing of new opportunities and the status of outstanding RFPs, discuss ongoing activity with photo documentation, PR and proposal development details and coordination.

. provide Emily with a copy of all signed contracts

. coordinate project details with independent contractors

General Administration Support

. receive and review all emails, distribute as appropriate and ensure follow through and responses as appropriate

.organize, categorize and maintain computer files to ensure easy access by all

. purchase and inventory of all office supplies

. errands as needed

. answer phone, take messages, respond to faxes as needed

. maintain office and paperwork orderliness and tidiness

. initiate and provide clerical and organization support for Brower

. make all travel arrangements and secure copies of all billing receipts

. coordinate billing back of travel costs with Emily, as appropriate

. provide office equipment maintenance and upgrades

. assist in researching, estimating and ordering of sculpture materials with follow up to ensure timelydeliveries

. familiarity with File Maker Pro, Excel, Microsoft Word and ideally photoshop

. help find studio resources as necessary
