CityArts is a non-profit community arts center that provides access to quality arts education to urban at-risk youth between ages 8-14, through afterschool, summer and daytime arts-integrated programs. CityArts mission is to ensure our capital city’s most challenged youth access to quality arts programs—unhindered by socio-economic barriers, and celebrating the arts as a means to youth empowerment, community building and social change.
Office Manager Role
CityArts seeks a full-time Office Manager to be part of a community of individuals who are committed to carry this mission forward. This position has two (2) primary responsibilities. First, the Office Manager position is responsible for the management and operations of an internal financial system that supports the needs of the agency’s growing fiscal responsibilities and program requirements. Second, the Office Manager position is responsible for providing the necessary administrative support to the Executive Director.
Financial Responsibilities
§ Maintain an internal financial management system that supports the operational and reporting needs of the organization;
§ Manage payroll reporting, accurate allocation of employee hourly assignments and timesheets; and
§ Provide ongoing traditional bookkeeping and accounting responsibilities including payroll reporting, private and government grant drawdowns and customized grant reporting systems, and fiscal partners.
Operational Responsibilities
§ Work with the Executive Director (ED) on day-to-day general administrative needs including office management, reception, communications with CityArts staff and board, human resources, fund development;
§ Organize, maintain, and order office supplies as needed;
§ Maintain donor and volunteer correspondence and gift acknowledgements; and
§ Maintain filing and information systems;
Qualifications
§ Experience in Accounting/Bookkeeping, familiarity with non-profits preferred;
§ Experience with Peachtree and ADP Payroll Reporting;
§ Excellent Technology/Computer skills with MS Word, Excel, Giftworks, Adobe Suite, and website maintenance;
§ Solid administrative and organizational skills including filing, answering phones, and excellent verbal and written communication skills;
§ Experience in Human Resources—employee compensation and benefits, and records maintenance;
§ Ability to work independently, multitask, and meet tight deadlines; and
§ Ability to speak Spanish is a plus.
CityArts Oversight and Administration
The Office Manager will report directly to the Executive Director day-to-day, and will assist CityArts Board Committees as needed on alignment of financial reporting to meet overall governance needs. The Office Manager will provide regular updates and monthly reports on ongoing fiscal activities. The Executive Director will review performance three months after date of hire, after which there will be a year-end review.
Compensation
CityArts offers a generous compensation package that includes base salary and comprehensive health benefits. Base salary will be commensurate with experience.
